This role sits at the intersection of executive\nsupport, human resources administration, financial operations, and office&nbsp;management — ensuring that the Executive Director and\nleadership team can focus on strategy and mission. The ideal candidate thrives on systems, handles complexity with calm, and takes genuine\nownership of the organization running smoothly day to day.&nbsp;<br \/>\n<br \/>\n<strong><big>Key Responsibilities&nbsp;<\/big><\/strong><br \/>\n<br \/>\n<strong>Executive Support&nbsp;<\/strong>\n<ul>\n\t<li>Manage&nbsp;the Executive Director's calendar, scheduling, and external appointments<\/li>\n\t<li>Draft and edit correspondence, reports, board materials, and strategic documents<\/li>\n\t<li>Prepare materials and&nbsp;logistics&nbsp;for Board of Directors meetings; take and distribute minutes<\/li>\n\t<li>Coordinate follow-up on Board action items and governance communications<\/li>\n\t<li>Produce a weekly operations summary for the Executive Director&nbsp;<br \/><\/li>\n<\/ul>\n<strong>HR &amp; Payroll Administration&nbsp;<\/strong>\n<ul>\n\t<li>Process monthly payroll and&nbsp;manage&nbsp;benefits tracking and enrollment<\/li>\n\t<li>Maintain staff contracts, I-9 records, and personnel files in compliance with applicable law<\/li>\n\t<li>Coordinate new hire onboarding across all departments<\/li>\n\t<li>Support updates to the employee handbook and HR policy documentation<\/li>\n\t<li>Administer scholarship tracking and&nbsp;manage&nbsp;the scholarship database&nbsp;<br \/><\/li>\n<\/ul>\n<strong>Finance &amp; Grant Administration&nbsp;<\/strong>\n<ul>\n\t<li>Process vendor payments, expense reports, and reimbursements<\/li>\n\t<li>Track and reconcile organizational budget lines; prepare financial reports for leadership<\/li>\n\t<li>\n\t\tManage&nbsp;the grant database; support grant reporting deadlines in coordination with the Director of Development &amp; Programs\n\t<\/li>\n\t<li>Handle invoice&nbsp;management and&nbsp;maintain&nbsp;financial records&nbsp;<br \/><\/li>\n<\/ul>\n<strong>Event Support&nbsp;<\/strong>\n<ul>\n\t<li>Support event&nbsp;logistics&nbsp;including volunteer recruitment and coordination<\/li>\n\t<li>Assist&nbsp;with supply ordering, inventory&nbsp;management, and vendor communications<\/li>\n\t<li>\n\t\tContribute to gala and signature event execution (Night of Ideas, Joyeux Bazaar, Fête de la Musique, Annual Gala,\n\t\tetc.):&nbsp;logistics&nbsp;and administrative duties\n\t<\/li>\n\t<li>Track event budgets and support post-event attendance and&nbsp;impact&nbsp;reporting<\/li>\n\t<li>Assist Executive Director with her event preparation (speeches, welcoming guests,&nbsp;etc)&nbsp;<br \/><\/li>\n<\/ul>\n<strong>School &amp; Academic Operations&nbsp;<\/strong>\n<ul>\n\t<li>Support student registration, enrollment communications, and class scheduling coordination&nbsp;(phone, emails,&nbsp;etc)<\/li>\n\t<li>Assist&nbsp;with teacher onboarding paperwork and induction&nbsp;logistics<\/li>\n\t<li>Contribute to enrollment and financial reporting for the Language &amp; Exams Center<\/li>\n\t<li>Coordinate course brochure and program description production with relevant staff<\/li>\n<\/ul>\n<strong>Office Operations &amp; Communications Inbox&nbsp;<\/strong>\n<ul>\n\t<li>Maintain office systems,&nbsp;supplies, and ensure smooth day-to-day operations<\/li>\n\t<li>Hold key holder responsibilities and&nbsp;manage&nbsp;building access<\/li>\n\t<li>Monitor and triage the organizational info@ inbox daily; forward, flag, and archive as appropriate<\/li>\n\t<li>Monitor phone calls and&nbsp;messages &nbsp;<\/li>\n\t<li>Categorize incoming inquiries by name and topic; ensure&nbsp;timely&nbsp;follow-up<\/li>\n\t<li>Oversee volunteer scheduling and on-site coordination<\/li>\n\t<li>Manage&nbsp;library lending, inventory, and cataloguing<\/li>\n\t<li>Supervise&nbsp;two staff members (office assistant and receptionist)&nbsp;&nbsp;<\/li>\n<\/ul>\n<br \/>\n<strong><big>Qualifications&nbsp;<\/big><\/strong>\n<br \/><br \/><strong>Required&nbsp;<\/strong>\n<ul>\n\t<li>\n\t\t3+ years of experience in executive support, office administration, or operations — preferably in a nonprofit, cultural, or educational\n\t\tsetting\n\t<\/li>\n\t<li>Demonstrated experience&nbsp;managing payroll, HR records, or financial administration<\/li>\n\t<li>Exceptional organizational skills and attention to detail;
